Monitor soon-to-expire products
Spot products near expiry or expired to act in time.
Overview
This screen lists products whose expiry date is approaching or passed, to sell them first or remove them.
Automatic alerts: managers and administrators are notified on their own (in-app notification + e-mail) when a product is nearing expiry. The company default delay (days before expiry, default 7) is set in Settings > Company > "Expiry alerts". Anyone can enable/disable these e-mails in Settings > Notification preferences ("Products expiring soon"). Already-expired products are flagged as urgent (red).
Scheduled expiry digest: on top of real-time alerts, each user can schedule a dedicated e-mail summary in Settings > Notification preferences > "Expiring products digest". There you choose the days of the week, the hour, the timezone and above all the alert lead time (products expiring within X days, e.g. 7, 10 or 15 days, and those already expired). This digest is independent from the low-stock daily digest.
Access
From the inventory view, open "Expiring soon" (or "See all" on the expiry alert).
Interface description
- Filter by number of days: Show what expires within X days.
- Sort by expiry date: From most urgent to furthest (or reverse).
- Status (expiring soon / expired) and stock: Identifies urgency and the quantity involved.
Step-by-step procedure
- Open "Expiring soon" and set the days filter. -> The list narrows to the affected products.
- Sort by date to handle the most urgent first. -> You prioritize selling or removal. (Check: Remove expired products from stock (exit).)
Examples
Anti-waste promotion: Products expiring in 3 days: you filter on 3 days and highlight them to sell before expiry.
Tips
- Set the expiry date when creating the relevant products: otherwise they will not appear here.
